How do I mark an off-eBay sale as returned?

Currently, there is no option in Flipwise to specifically mark items as returned which have sold outside of eBay. Following are a couple of options for handling this type of situation:

Option 1: Delete the Order

You can simply delete the original order. Since you created it manually within Flipwise, off-eBay orders are allowed to be deleted. To do, find the manual order by going to the detail page of the sold item and clicking on the bottom right corner of the sales event, where it says "Delete Order":

This will remove the order entirely from Flipwise, as if it never happened.

  • If the item had been listed on eBay, the item will be marked as "Ended", and you can relist it on eBay. Flipwise will connect the new listing with this ended listing.
  • If the item was previously Unlisted, or was created when the Sale was entered, the item will go back to being "Unlisted".

Option 2: Record the Refund as an Expense

Alternatively, you can keep the record of the order in place, and add an expense for the full amount of the refund. Simply take the entire amount that you refunded the buyer and add it as an expense tied to the refunded item:

The advantage here is that you will still have a record of the sale in your books. However, the item will remain in the "Sold" state, so if you relist the item, you can no longer use the same Flipwise entry to track it.

  • If the item was listed on eBay previously, you can relist it on eBay again. Flipwise will automatically create a new entry for the item.
  • If the item was previously Unlisted, or was created when the Sale was entered, then you will need to create a new Unlisted item to record the relist.

In each case, make sure that you remove the Purchase Price from the previous listing and add it to the new listing, so you are accurately tracking the Profitability and not double counting the purchase expense.
